2. Information we collect
Website enquiry, quote and consultation forms may collect your name, email address, optional telephone or WhatsApp number, business name, service interests, business/activity indicators, accounting-system information, record condition, preferred contact method, requested consultation details and information you enter in free-text fields. The website and hosting service may also generate limited technical information such as IP address, browser/device information, request data and security or anti-spam information.
3. Purpose, required fields and consequences
We use enquiry information to respond, assess service fit and scope, arrange consultations, prepare quotations or proposed engagements, carry out appropriate client-acceptance and administration activities, maintain necessary records, protect systems and meet applicable legal, professional or contractual obligations. Required fields are marked. Telephone/WhatsApp is optional where stated. Without required information we may be unable to identify your enquiry, assess the requested work, quote accurately or respond.
4. Website forms and service providers
Blackridge uses Netlify to host the website and Netlify Forms to process website enquiries, quotation requests and consultation requests. Netlify stores form-submission data in its service database. The public forms use a honeypot anti-spam field and do not accept file uploads. Authorised Blackridge personnel may access submissions. Where configured, authorised follow-up communications or form notifications may also be handled through Blackridge's Google Workspace environment.
Blackridge may also use approved service providers, professional advisers, regulators or public authorities where necessary, relevant and lawful. Blackridge does not sell or rent personal information.
5. International processing
Netlify and Google operate international cloud infrastructure and may process or store personal information outside South Africa. Blackridge does not represent that website-enquiry information is stored only in South Africa. Where information is processed across borders, Blackridge takes reasonable steps intended to address POPIA section 72, including relying on appropriate provider data-processing terms, contractual safeguards and other lawful transfer mechanisms.
6. Retention
Unsuccessful website enquiry, quotation and consultation records are normally retained for no longer than 12 months from the last meaningful interaction, unless a longer period is reasonably required for a complaint, dispute, legal obligation, fraud/security matter or another lawful purpose. Blackridge reviews Netlify form submissions at least quarterly and deletes unsuccessful enquiry submissions that have exceeded the approved retention period, subject to any documented lawful hold. If you become a client, relevant enquiry information may become part of the client record and be retained under applicable client, statutory, professional and dispute-retention requirements.
7. Security and sensitive records
Blackridge applies reasonable technical and organisational safeguards appropriate to the nature of the information and the risks involved, including controlled access, approved business systems, secure transmission, anti-spam controls, confidentiality requirements, security monitoring and incident procedures.
Do not submit passwords, one-time PINs, banking credentials, identity documents, tax reference numbers or detailed financial records through a general website form or ordinary email. If documents are required, Blackridge will provide an appropriate secure process.
8. Cookies and analytics
At launch, Blackridge does not use Google Analytics, behavioural advertising pixels or other non-essential marketing cookies. The website and hosting platform may use or generate essential technical data needed for security, delivery, form operation and basic functionality. If non-essential analytics or advertising technology is introduced later, the relevant notices and controls will be updated before use.
9. Direct marketing
Service communications about an enquiry or engagement are not treated as marketing. Direct electronic marketing will only be carried out where Blackridge has a lawful basis and will include an appropriate way to object or unsubscribe. Marketing objections and opt-outs are recorded so they can be respected.
10. Your rights
Subject to POPIA, PAIA, identity verification and lawful limitations, you may ask Blackridge to confirm whether it holds personal information about you; request access; request correction or updating; object to certain processing; request deletion or destruction where permitted; withdraw consent where processing depends on consent; stop direct marketing; or raise a privacy complaint.
